A unified approach to all property management systems and reduced costs for corrective maintenance.

Background

Vasakronan is one of Sweden’s leading property companies. Within its properties, a wide range of computerized systems from different manufacturers are used to automate, monitor, and manage various building functions. The company's technical infrastructure has long lacked a central platform for handling operational alarms, and there was a need to consolidate user access management for all property technology systems in one place. This was aimed at providing a comprehensive overview of the buildings’ status.

Problem

Fragmented systems and inefficient alarm management.

  1. The dispatch of operational alarms had to be set up in a large number of systems from different manufacturers, without any unified solution to prioritize and direct the right information to the right recipients.
     
  2. When changes occurred within the organization, the information needed to be updated across multiple systems. The result could be unnecessary and costly emergency callouts or delayed actions.

  3.  Technical managers, operations staff, and external partners had to spend time searching for information on remote access and login credentials, as well as navigating between numerous systems to address emerging issues. The complex access control management required significant administrative resources and could also lead to security risks.

Need

A technology portal and hub for alarm management.

Vasakronan needed a solution that could consolidate all central and building-specific property systems into a unified platform, where both internal staff and external partners could monitor and manage the properties' technology. Those responsible for the functionality of the properties required quick access to information on deviations and a secure, easily accessible way to enter the systems they needed to manage. Additionally, the dispatch of alarms to Vasakronan's emergency partners needed to be centralized, and the case management related to emergency dispatches had to be digitized.

Solution

A system integration with Orbiq as the tool.

By using Orbiq, Vasakronan can access all its property systems through a central technology portal that they can manage themselves. The solution not only consolidates all alarms in one place but also provides technicians, contractors, consultants, and others with the ability to easily log into the correct systems and perform their tasks without switching between different platforms. Orbiq complements incomplete information in operational alarms, filters out irrelevant alerts, and attaches links for secure web-based login to the relevant systems—all to make the process as simple as possible for the alarm recipient.

Effect

More efficient operations and better oversight.

Through Tekla, the solution named by Vasakronan, automated processes are configured to create work orders in Vasakronan’s case management system based on operational alarms. The integration with Vasakronan’s platform solution, ProptechOS, also allows for the use of data from ProptechOS to create dynamic key performance indicators for better tracking of property operations.

The Orbiq platform also includes a feature for monitoring property servers and connections, meaning Vasakronan's staff and partners are notified when prioritized equipment in the buildings fails, enabling them to take necessary action quickly.
